Primary Responsibilities include but are not limited to:
- Be the “face” of CEO to our donors. It will be your contact information given and you who responds to their “asks”.
- Pick up the mail from the PO Box and deposit all donations and event checks each week, bringing to Stephanie any mail that requires action outside your scope of work.
- Enter each individual check and online donation into QuickBooks weekly for checks, monthly for online donations.
- Meet with the CFO monthly to review donation reports created in QuickBooks.
- Complete appropriate connections with donor management givers as requested by the donor management entity if it is within acceptable business norms.
- Update and maintain all donor contact information as provided and proactively look for solutions when individual communication breaks down.
- Proactively handle any arising issues and troubleshoot any emerging problems that you or the CEO team might identify.
- Send letters/emails to any first-time donors or exceptional donations as received, as well as communicate with Frank if you believe personal attention is warranted.
- Be responsible for providing current mailing/emailing information for quarterly donor letters written by the CEO staff.
- Collaborate with a team of writers, video editors, and social media managers to ensure a cohesive and integrated visual and content strategy is consistently delivered where donations are requested or taken.
- Ensure supplies are on hand for all quarterly mailings.
- Depending on the size of the quarterly mailing, you, Frank and the CFO (and perhaps Heath) will work together to get those signed and sent.
- Make sure all information is ready for the annual donation tax receipt to be sent to each donor.
- For the new portal, work closely with the website team to make sure the preparation as well as the actual transition on the back end is completed correctly. 1. Work with the staff to create and schedule communications for all phases of the transition and preparation for any possible issues. 2. Learn all there is to know about the new portal so you can be of help to those in need when it is launched. 3. Create a go-forward yearly schedule for the donor portal and meet with the Marketing Team to have them get you on their schedule to create and implement the donor portal creative updates on time. 4. Review and approve all changes to the donor portal whether ones you schedule or ones the Marketing requests.
- Finally, you are tasked with the overall care of our donors. CEO wants to make sure they know we are partners with them in ministry and value them as individuals. You should seek to constantly improve our donor communication by, among other things, making recommendations for improvement of donor contact, donor gifts, donor portal, etc..
Such a position requires one to take personal initiative to get things done without having daily supervision. Remote work conditions also require personal discipline and drive to problem-solve as required, often creatively and without direct supervision.
