Position Overview
The Chief of Staff serves as the CEO’s strategic right hand, ensuring that the CEO’s priorities are translated into clear action across the organization. This role combines executive support, project management, and represents the CEO in oversight of, and coordination with, department heads in a fully virtual, mission-driven Christian apologetics ministry. The position is both internal and external facing and requires strong leadership, discretion, initiative, and the ability to manage complex workflows and relationships remotely.
The Chief of Staff must be able to manage overlapping deadlines, coordinate multiple teams, and keep major initiatives moving forward without losing sight of the ministry’s apologetics mission. The role requires someone who can think strategically while also handling the practical realities of execution in a fast-moving media environment.
The Chief of Staff reports directly to the CEO and manages the department heads of Finance & Donor Relations, Operations/HR/IT/International, Marketing & Creative Services, and Product Sales & Online Course Development. This role helps align departmental execution with the CEO’s vision, monitors progress, resolves bottlenecks, and ensures that priorities are carried out consistently across the ministry.
Key Responsibilities
- Assist the CEO with administrative tasks, calendar coordination, correspondence, meeting preparation, follow-up, and action-item tracking.
- Coordinate with department heads to establish clear goals, review progress, and ensure accountability across all departments. This includes content production, speaking schedule, livestreams, courses, translations, and international outreach.
- Translate CEO priorities into executable plans and oversee follow-through on strategic initiatives.
- Serve as a central communication hub between the CEO, department heads, and staff to keep work aligned and efficient.
- Identify operational gaps, recommend process improvements, and help implement systems that increase productivity in a fully remote environment.
- Support preparation for speeches, travel, online courses, podcasts, television productions, and ministry partnerships.
- Will require occasional nights and weekends.

- Demonstrated ability to supervise department heads and hold teams accountable remotely.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple projects simultaneously in a deadline-driven environment.
- Willingness and ability to travel domestically and internationally as needed.
- A working knowledge of the major arguments of Christian apologetics with a desire to know more.
- Ability to help edit workbooks for Christian apologetics courses and other related communication.
- Strong judgment, confidentiality, and the ability to work closely with a CEO in a high-trust setting.
- Comfort with MS Office, Monday, Zoom, and Dropbox.
Preferred Skills
- Experience in Christian ministry, nonprofit leadership, media production, or educational content development.
- Familiarity with multilingual workflows, digital publishing, online learning platforms, and donor-supported organizations.
- Experience supporting executive leadership in a virtual or distributed-team environment.
- Familiarity with best practices on X, Facebook, IG, YouTube and TikTok
