Role Purpose
The Event Manager is responsible for scheduling and managing all speaking engagements and live events for Dr. Frank Turek and CrossExamined, including college tours, church events, special conferences, and internal ministry gatherings.
This position also oversees event logistics for CrossExamined’s major conferences such as UnShaken and the CrossExamined Instructors Academy (CIA), ensuring seamless planning, communication, and execution in partnership with internal teams and external hosts.
The Event Manager is the primary point of contact for event scheduling and coordination, maintaining Dr. Turek’s master calendar and ensuring that every event is well-organized, logistically sound, and aligned with CrossExamined’s mission and strategic goals.
Core Responsibilities
1. Event Scheduling and Coordination
- Manage all speaking requests and scheduling for Dr. Frank Turek’s college, church, and conference appearances, including initial inquiry, evaluation, and confirmation.
- Review and prioritize speaking invitations based on ministry objectives, travel feasibility, and strategic impact.
- Coordinate directly with event hosts regarding date selection, contracts, logistics, and expectations.
- Maintain detailed event records and documentation for each confirmed engagement.
- Communicate updates to Dr. Turek, the Executive Director, and relevant team members.
2. Calendar and Travel Management
- Maintain and manage Dr. Turek’s master calendar, ensuring accuracy, clear scheduling, and minimal conflicts.
- Coordinate all travel logistics, including airfare, lodging, ground transportation, and itineraries.
- Collaborate with Finance staff to confirm travel bookings, expense policies, and reimbursements.
- Ensure Dr. Turek receives up-to-date event packets, travel details, and contact information in advance.
3. Host and Partner Communication
- Serve as the main liaison between CrossExamined and external event hosts, providing professional communication and coordination.
- Gather and confirm event details (venue, attendance, AV setup, technical requirements, volunteer support, etc.).
- Provide host organizations with necessary promotional materials and coordinate with the Creative Services team for approved graphics and event assets.
- Maintain relationships with host organizations to ensure long-term partnerships and satisfaction.
4. Coordination of Major Conferences and Special Events
- Lead event logistics for large-scale CrossExamined conferences and special gatherings, including UnShaken, CrossExamined Instructors Academy (CIA), and other strategic events.
- Coordinate with venues, speakers, and production partners to ensure all logistics are professionally managed (e.g., contracts, AV support, catering, registration, and housing).
- Manage event timelines, production schedules, and on-site coordination as needed.
- Collaborate with the Creative Services and Digital Projects teams for event promotion, livestreams, and post-event follow-up.
- Provide wrap-up reports and evaluations for each major event, including attendance data, lessons learned, and recommendations for improvement.
5. Internal Team Coordination
- Work closely with the Creative Services team to provide accurate event information for promotional materials, website listings, and social media updates.
- Collaborate with Impact Apologetics to manage resource shipment and product sales for events.
6. Event Logistics and Follow-Up
- Ensure all logistics such as book shipments, on-site resource tables, technical needs, and volunteer support are managed for each event.
- Track contract completion, deposits, payments, and key deliverables for each host engagement.
- Provide post-event communication and appreciation follow-up to event hosts.
- Maintain a centralized database of all event history for analysis, reporting, and strategic planning.
Key Outcomes
- Accurate Scheduling: All engagements are confirmed, conflict-free, and properly reflected in Dr. Turek’s calendar.
- Professional Coordination: Hosts experience clear, timely, and excellent communication throughout the planning process.
- Event Readiness: Every event, from single engagements to major conferences, is fully prepared and professionally executed.
- Strategic Impact: Events are aligned with CrossExamined’s mission and priorities, strengthening outreach and visibility.
- Operational Integration: Internal teams are consistently informed and equipped for event support, promotion, and follow-up.
Qualifications
- 3–5 years of experience in event management, scheduling, or project coordination (ministry, nonprofit, or conference experience preferred).
- Exceptional organizational and time-management skills, with the ability to handle multiple events simultaneously.
- Strong written and verbal communication skills; professional and proactive demeanor.
- Experience coordinating conferences or multi-day events.
- Proficiency in Outlook, and calendar/project management tools.
- Strong attention to detail and ability to anticipate logistical challenges.
- Experience managing travel logistics and vendor coordination.
- Team player with a collaborative spirit and commitment to ministry excellence.
- Alignment with the Christian faith and the mission of CrossExamined.
